DigitalSchools.io ("we", "us") provides school management software to institutions across Pakistan. This Privacy Policy explains what information we collect, why we collect it, and how it is used and protected across our web, mobile and admin applications.
2. Who this policy covers
This policy applies to institution owners and administrators, teachers, accountants and staff, and to parents and students whose information is entered into the Service by their institution. Institutions are responsible for informing parents, guardians and staff that their data is processed through DigitalSchools.io, and for obtaining any consent required by local law before entering student or staff records.
3. Information we collect
- Institution account data: school name, contact details, campus structure and billing information.
- Staff and user data: names, roles, contact numbers, email addresses and login credentials for administrators, teachers and accountants.
- Student and guardian data: admission details, attendance, fee and payment records, exam results, and parent or guardian contact information, as entered by the institution.
- Communications data: SMS and messaging logs sent through the Service to parents, students or staff.
- Usage and technical data: log data, device information and cookies collected when the Service is accessed, used to keep the Service secure and working correctly.
4. How we use this information
- To operate the core features of the Service: admissions, attendance, fees, exams, results, salaries, accounting and reporting.
- To send SMS or app notifications on behalf of the institution, such as fee reminders and absence alerts.
- To provide customer support, including via WhatsApp, phone and email.
- To maintain the security, integrity and reliability of the Service.
- To improve the Service based on aggregated, non-identifying usage patterns.
We do not sell student, parent or staff data to third parties, and we do not use it for advertising.
5. Cookies
The Service may use essential cookies required for login sessions and basic functionality, and, where enabled, analytics cookies to understand how the Service is used. You can control cookies through your browser settings; disabling essential cookies may affect the ability to log in.
6. Sharing of information
We may share information with:
- Payment processors (such as JazzCash, Easypaisa or banking partners) to process subscription payments.
- SMS and communication providers, solely to deliver messages your institution sends through the Service.
- Hosting and infrastructure providers who store data on our behalf under confidentiality obligations.
- Authorities, where required by law or to protect the rights, safety or property of DigitalSchools.io, our institutions, or their students and staff.
7. Data storage and security
Institution Data is stored on secured servers with access restricted to authorised personnel and to the roles your institution's administrator configures within the Service. We apply reasonable technical and organisational measures to protect data against unauthorised access, loss or misuse, though no online system can be guaranteed 100% secure.
8. Data retention
We retain Institution Data for as long as the institution's account remains active, and for a reasonable period afterward to allow data export, meet legal obligations, or resolve disputes. Institutions may request deletion of their data, subject to any records we are required to keep by law.
9. Access, correction and export
Institution administrators can access, update and correct most records directly within the Service. To request export or deletion of Institution Data, or to raise a question about specific records, contact us at mail@digitalschools.io.
10. Children's data
Student records, including those of minors, are entered and managed by the institution, not directly by students. Institutions are responsible for ensuring they have appropriate authority and, where required, parental or guardian consent to submit this information to the Service.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated to institution administrators. The "Last updated" date at the top of this page reflects the most recent revision.
